Office Space Planning: How Many Workstations Fit in 1,000 sq ft?

Office Space Planning: How Many Workstations Fit in 1,000 sq ft?

Short answer: In about 1,000 sq ft of carpet area, plan for roughly 12 to 16 workstations if you also want a cabin, a meeting room, a small reception and a pantry. A fully open layout with compact desks can reach about 18 to 22 seats. A spacious layout with larger desks and two cabins will seat around 8 to 10. The number depends on desk size, aisle widths and how much of the floor goes to rooms.

This is one of the first questions clients ask us, often before they sign the lease. A quick rule of thumb gets you close; a scaled drawing gets you the real answer. Here are both.

The rule of thumb

Office planners talk about area per person, counting everything on the floor: the desk, the chair space, aisles, rooms and common areas.

Layout style Area per person (overall) Seats in 1,000 sq ft
High density, open plan 45 to 55 sq ft About 18 to 22
Balanced, with one cabin and a meeting room 60 to 80 sq ft About 12 to 16
Spacious, with cabins and lounge 100 to 125 sq ft About 8 to 10

These are planning ranges. Always check your building’s occupancy and fire-safety rules, which can set their own limits.

First, check what “1,000 sq ft” means

Commercial space in Pune is usually quoted as chargeable or super built-up area. The usable carpet area can be noticeably less once lobbies, shafts and walls are deducted. Measure the actual room before planning seats. Also note:

  • Columns inside the floor and their sizes
  • Door positions and the path to the exit
  • Windows (you do not want storage blocking them)
  • Toilets, if they are inside your unit
  • The electrical panel and AC units

How much space does one workstation really take?

A 1,200 x 600 mm desk covers about 7.75 sq ft. But the person also needs room for a chair and a way to reach the seat:

  • Desk: 1,200 x 600 mm
  • Chair zone behind the desk: about 900 to 1,000 mm
  • Share of the aisle: about 450 to 600 mm

That works out to roughly 25 to 30 sq ft per seat in the work area alone, before any rooms or reception. Desk sizes and row spacing are covered in our linear workstation guide.

Key clearances to remember

Element Clearance
Main aisle About 1,200 mm
Secondary aisle About 900 mm
Behind a seated person (no walkway) About 900 mm
Back-to-back rows with a walkway between About 1,800 mm between desk edges
Around a meeting table About 900 mm on all sides
In front of storage with doors About 900 mm

Three sample layouts for about 1,000 sq ft

Layout A: balanced office, 14 seats

  • 12 linear workstations (1,200 x 600 mm) in two double-sided runs of six
  • 1 manager cabin, about 90 sq ft
  • 1 meeting room for six, about 110 sq ft
  • Reception counter with one seat and a two-seat waiting area
  • Pantry counter and a storage wall

Layout B: dense open plan, 20 seats

  • 20 workstations at 1,050 x 600 mm in double-sided runs
  • One four-seat discussion room or two phone booths
  • Shared storage along one wall, small pantry counter
  • No reception; the first desk handles visitors

Layout C: client-facing office, 9 seats

  • 6 workstations at 1,350 x 600 mm
  • 2 cabins of about 100 sq ft each
  • Meeting room for eight
  • Reception with waiting for four, and a pantry

The choice between these styles is discussed in our post on open-plan versus cabin layouts.

Five ways to fit more seats without crowding

  1. Use double-sided runs. Two rows share one partition and one raceway.
  2. Run rows perpendicular to the windows. More people get daylight and the aisles line up.
  3. Reduce desk width where the work allows. Dropping from 1,200 to 1,050 mm adds roughly one seat for every seven.
  4. Replace a cabin with a glass-fronted smaller one, or share one cabin between two part-time users.
  5. Move storage to the walls and upward. Free-standing cabinets in the middle of the floor block rows.

What should not be squeezed

  • The route to the exit and to the fire extinguisher
  • Access to the electrical panel
  • Chair space behind desks
  • Fresh air and AC throw; too many people in a room designed for fewer becomes stuffy quickly

Frequently asked questions

How many employees can sit in a 1,000 sq ft office?

About 12 to 16 with a cabin, a meeting room and a pantry. Up to about 18 to 22 in a dense open plan with compact desks.

How much office space is needed per employee?

As an overall planning figure, 60 to 80 sq ft per person suits a balanced office. Dense layouts use 45 to 55 sq ft and spacious ones 100 sq ft or more.

What is the minimum aisle width in an office?

Plan about 900 mm for secondary aisles and about 1,200 mm for main aisles, and follow your building’s fire-safety requirements.
