Office Furniture Warranty and After-Sales Service: 12 Questions to Ask
Short answer: Before ordering office furniture, get the warranty in writing and ask what it covers (board, hardware, chairs and electricals are often treated differently), what it excludes (water damage and misuse usually), who attends a service call and how quickly, and whether matching additions and spare parts will be available later. A clear answer to these questions tells you more about a supplier than the price does.
Furniture problems rarely appear on installation day. They show up six or eighteen months later: a drawer that no longer closes, a lock that jams, a chair that sinks. What happens then depends entirely on what was agreed at the start. These are the questions we suggest every buyer asks, of us and of anyone else quoting.
Why does after-sales service matter for office furniture?
- Office furniture is used by many people, eight to ten hours a day
- Small faults such as loose handles or sticking drawers spread quickly if ignored
- Teams grow, and new seats need to match the old ones
- Offices relocate, and furniture has to be dismantled and refitted
A supplier who is easy to reach after the final payment is worth more than a small discount.
The 12 questions
1. Is the warranty given in writing?
A verbal “full guarantee” is not a warranty. Ask for it on the quotation or invoice, with the start date, usually the date of installation or handover.
2. What exactly does it cover?
Typically, manufacturing defects in material and workmanship: delamination of the laminate, edge banding coming off, panels warping, joints failing under normal use.
3. Are different parts covered for different periods?
Often yes. Ask separately about:
| Component | What to ask |
|---|---|
| Board and laminate | Period, and whether delamination and warping are included |
| Hardware: channels, hinges, locks | Period, and whether the hardware maker’s own warranty applies |
| Chairs: gas lift, mechanism, castors, mesh | Usually covered by the chair manufacturer; ask how claims are handled |
| Electrical items: sockets, power boxes, LED | Often a shorter period |
| Height-adjustable desk motors | Covered by the frame supplier; ask about local service |
| Fabric and upholstery | Wear is usually excluded; defects covered |
4. What is excluded?
Common exclusions are water damage, including from floor mopping and leaks, damage from misuse or overloading, normal wear and tear, fading from direct sunlight, changes made by someone else and damage during shifting by a third party. Knowing these helps you avoid them. Mopping water at the base of furniture is the single most common cause of rejected claims in this industry.
5. Who do I contact, and how?
Ask for a named person or a service number, not just the salesperson’s mobile.
6. How quickly will someone come?
Ask for a typical response time for a service visit in your area. A nearby workshop makes a real difference here.
7. Who does the repair?
The manufacturer’s own team knows how the furniture was built. Third-party fitters may not have the right fittings or matching material.
8. Are spare parts and matching material kept?
Ask whether the same laminate, edge banding, handles and locks will be available in a year or two. Note the laminate brand and code on your order so that it can be sourced again.
9. Can I add matching seats later?
If the workstation system is modular and the manufacturer keeps your drawings, adding four seats to an existing run should be routine. Ask how they handle repeat orders.
10. What happens after the warranty ends?
Ask whether paid service visits and an annual maintenance contract are offered. An annual visit to tighten fittings, adjust doors and replace worn hardware extends furniture life considerably.
11. Will you help if we relocate?
Dismantling and refitting modular furniture needs care. Ask whether the manufacturer does this, and whether moving the furniture affects the warranty. See our guide to moving modular office furniture.
12. How are snags at handover dealt with?
Before final payment, walk the floor together and write a snag list with a completion date. Small touch-ups are normal; they should be closed within days.
What you should keep on file
- The final approved layout drawing
- Itemised quotation and invoice
- Written warranty terms
- Laminate, edge band and fabric brands and codes
- Hardware makes
- Key numbers and the master key
- Signed snag list and handover date
- Service contact details
When something needs attention two years later, this folder turns a long search into one phone call.
How to keep your warranty valid
- Keep wet mops away from furniture bases; wipe spills at once.
- Do not overload drawers and shelves.
- Report loose fittings early.
- Do not let other contractors cut or drill the furniture.
- Use the manufacturer for dismantling and refitting.
- Clean with a damp cloth and mild soap only.
Red flags when choosing a supplier
- No written warranty
- Vague answers about board and hardware makes
- No workshop you can visit
- Full payment demanded before installation is complete
- No fixed address or service contact
- Reluctance to share past client references
Does location matter for service?
Yes. Service visits are short jobs, and travel time decides whether they happen today or next week. Our workshop is in Dhanori, north-east Pune, so offices in Viman Nagar, Kalyani Nagar, Yerawada, Vishrantwadi, Kharadi and Wagholi are a short drive away. We also serve the rest of Pune, including Hinjewadi, Baner, Hadapsar and Pimpri-Chinchwad, where visits are planned around traffic.
Ask us these questions
We are happy to answer each of the twelve questions in writing as part of our quotation. Warranty terms depend on the materials and hardware you choose, so they are stated on the quote for your order. See the office furniture range, and read what to check when buying direct from a manufacturer.
Frequently asked questions
What does an office furniture warranty usually cover?
Manufacturing defects in material and workmanship, such as laminate delamination, edge banding failure and faulty hardware, under normal use.
What is not covered by an office furniture warranty?
Typically water damage, misuse, overloading, normal wear and tear, sun fading and damage caused during shifting or alteration by others.
Is an annual maintenance contract worth it for office furniture?
For offices of 50 seats or more it usually is. A yearly visit to tighten fittings and replace worn hardware prevents bigger repairs.
