Office Fit-Out in Pune: From Empty Floor to Ready-to-Work Office
Short answer: An office fit-out is the work that turns a bare or warm-shell floor into a usable office. It runs in a fixed order: brief and space planning, drawings, services (electrical, data, air-conditioning, fire), partitions and ceiling, flooring and painting, then furniture, and finally IT and handover. Furniture is installed near the end, but it must be designed at the start, because desk positions decide where power and data points go.
Most people do a fit-out once every few years, so the sequence is not obvious. When stages are done in the wrong order, you pay twice: a floor box gets moved, a partition is cut to pass a duct, a finished wall is opened for a missed cable. This guide sets out the order that avoids that.
What does “fit-out” mean?
Landlords in Pune usually hand over commercial space in one of two conditions:
- Bare shell: concrete floor, external walls and windows, and basic building services up to the floor.
- Warm shell: the above plus some combination of flooring, ceiling, air-conditioning and toilets.
The fit-out is everything you add after that to make it your office. Check the handover condition in your lease before budgeting; it changes the scope a lot.
The fit-out stages, in order
1. Brief and headcount
Write down the number of seats now and in two years, cabins, meeting rooms, reception, pantry, storage and server needs. Add how your team works: mostly at desks, mostly on calls, or in and out.
2. Space planning
A scaled layout places every desk, room and aisle. This is the single most valuable drawing in the project. It is also the stage where a furniture manufacturer should be involved, since workstation sizes and row directions decide how many people fit. Our post on open-plan versus cabin layouts covers the main decision here.
3. Services drawings
Once desks are fixed on paper, the electrical, data, lighting, air-conditioning and fire-safety layouts are drawn around them. Each workstation run needs a feed point. Each cabin and meeting room needs its own lighting and cooling control.
4. Building approvals
Most commercial buildings and IT parks ask for drawings, a work schedule, labour details and a deposit before work starts. Ask the building office for their fit-out guidelines early, including working hours and lift use for materials.
5. Civil work and partitions
Any masonry, toilet or pantry plumbing, and the framing for gypsum or glass partitions.
6. First-fix services
Conduits, cable trays, AC piping and ducting, sprinkler changes and data cabling go in while walls and ceiling are still open.
7. Ceiling, flooring and painting
False ceiling is closed after services are tested. Flooring and final paint follow.
8. Furniture production (running in parallel)
Modular furniture is made in the workshop while the site work is going on. This overlap is what keeps the total timeline short. Production should start as soon as the layout and finishes are approved, not when the site is ready.
9. Furniture installation
Workstations, storage, cabin tables, meeting tables and reception are delivered and assembled once the floor is finished and dust-producing work is over.
10. IT, signage and handover
Network switches, Wi-Fi, access control, CCTV, signage and deep cleaning. Then a snag walk to list anything pending.
Who does what in a fit-out?
| Party | Role |
|---|---|
| Client coordinator | Gives the brief, approves drawings and finishes, single point of contact |
| Interior designer or architect | Layout, look and feel, working drawings |
| Fit-out contractor | Civil, partitions, ceiling, flooring, painting |
| MEP contractors | Electrical, data, air-conditioning, fire safety |
| Furniture manufacturer | Workstations, storage, tables and other modular furniture, with installation |
| IT vendor | Network, servers, access control |
On smaller offices one firm may cover several of these roles. What matters is that one person coordinates them.
Why involve the furniture manufacturer early?
- Desk positions fix the location of floor boxes and wall feeds.
- Workstation raceways need to know how many power and data cables they will carry.
- Storage and partition heights affect lighting and AC throw.
- Production can run alongside site work, saving weeks.
If furniture is ordered only after the interiors are finished, the office sits empty and rent-paying while it is made. Our office furniture buying guide lists what to finalise before placing the order.
What delays a fit-out most often?
- Late changes to seat count or layout after drawings are approved
- Slow building approvals
- Electrical and data points that do not match desk positions
- Furniture arriving before the flooring and painting are complete
- Restricted working hours and lift bookings in multi-tenant buildings
- Finishes chosen late, holding up production
A short pre-installation checklist
- Flooring complete and protected
- Final coat of paint done in furniture areas
- Power and data feeds available at each workstation run
- AC and lighting working
- Service lift booked and loading route cleared
- Layout print on site with seat numbers

Frequently asked questions
What is included in an office fit-out?
Space planning, partitions, ceiling, flooring, painting, electrical and data work, air-conditioning, fire safety changes, furniture, IT setup and signage.
When should furniture be ordered in a fit-out?
As soon as the layout and finishes are approved, so that production runs in parallel with site work and the furniture is ready when the floor is finished.
Can a fit-out be done in phases?
Yes. Many offices complete the work area first and add meeting rooms or breakout areas later. Services for later phases should still be planned at the start.
